Studio ManagerAs Studio manager your role will vary day to day which is fun and exciting especially in this busy design studio!
With responsibility across marketing, human resources, finance, project administration, and business development admin, you will work closely with the Directors to manage everything from ensuring the smooth running of the studio to the preparation of marketing collateral, assisting with the company’s social media presence, and researching leads and events for the founders, to conducting staff appraisals, arranging team outings and training, coordinating with PR. The position will also include diary management for the Directors and assisting with meeting/travel arrangements.The Studio are 30 staff currently working- you will report into the Head of Finance & Ops & directors.Duties include but are not limited to:Studio – everyone is working hybrid – up to 3 days in the hub depending on the teams
- Undertake the day-to-day diary management for the CEO and occasionally other directors
- Support in reviewing the studio schedule on weekly basis
- Book travel, hotels, taxis, couriers, and meeting rooms when required
- Manage stationery & post
- Telephone and reception duties and general mail enquires
- Organise Team building events
- general ad hoc administration tasks and help whenever it is needed
- Oversee office equipment and IT support for the wider team when needed.
HR support
- Team assistant for the studio designers
- Support the on-boarding of new team members
- Manage absences, sick leave through HR portal.
- Assist with Recruitment – screen all CVs that come through and arrange interviews, assist with settling in new employees and leavers
- Assist on booking freelancers for resource support.
Finance support
- Provide administrative support for the Finance
- Expenses reconciliation
- Post Purchase invoices
- Support with monthly billing
- Bank reconciliation
- Purchase & Sales ledger statement reconciliation
- Prepare weekly Bacs payment run
- Review annual subscriptions and other overhead costs with finance manager
- Ad hoc duties as require by finance manager
Skills/Experience:
- 5+ years’ experience in a similar role, with a focus on office operations
- Bookkeeping experience, with an understanding of project billings and accounting,
- A basic understanding of human resources, with some exposure to local legislation,
- Excellent interpersonal skills, with the ability to build trusting relationships with people at all levels,
- Excellent written and numerical skills, and high attention to detail,
