Company DescriptionThe University of California Education Abroad Program is a UC, systemwide, academic program. Through international academic experiences, the University of California Education Abroad Program (UCEAP) inspires students to explore and transform their lives, UC, and the world. Since 1962, UCEAP has served as the UC systemwide study abroad program.The UCEAP London Study Center supports academic programs serving approximately 500 students annually at 12 partner institutions across England.PositionUnder direct supervision of the Program Manager, the Program Assistant provides straightforward information to students on program requirements, course offerings, orientation, and other student welfare issues related to their stay abroad. Responds to student emergencies as part of an on-call rotation for emergency student welfare issues, including after regular business hours, and supports the general health and safety of students. Performs general administrative services, assists in the planning and implementation of student events, and participates in occasional weekend cultural activities and events. Maintains office academic records, student database, and supports program promotion efforts through use of social networking media and other resources. Applies learned skills and job knowledge in area of international student services; may adapt procedures, operations, techniques, tools, materials, and/or equipment to meet needs; may work on non-routine tasks.As an integral member of a small office, the Program Assistant works cooperatively with the Program Manager; understands and applies broad administrative rules, policies, and precedents; consults with experienced level staff and receives direction for more complex assignments, projects, tasks, and policy interpretations.RequirementsRequired Qualifications:

  • Bachelor’s Degree in related area and / or equivalent experience / training.
  • Ideally 1-3 years of experience in higher education program administration or equivalent combination of training and work experience.
  • Professional English verbal and written communication skills, typically equivalent to CERF level B2 or higher. Skill in obtaining and conveying information clearly and with written accuracy.
  • Good interpersonal skills with proven ability to develop rapport and engage with students with sensitivity including appropriate referrals.
  • Personable, enthusiastic, and interested in international exchange programs.
  • Multicultural competencies; ability to work with diverse groups to achieve results, commitment to valuing diversity and creating an inclusive work environment.
  • Demonstrated ability to listen, learn and build trust among faculty, staff, students, and other constituents.
  • Previous customer service experience and knowledge of internal and external customer service principles and practices.
  • Basic knowledge of advising and counseling techniques.
  • Demonstrated initiative and proactive approach working with both independently and as part of a team.
  • Experience working in an office environment and working knowledge of basic administrative functions. Knowledge of local higher education environments.
  • Skills in prioritizing numerous task to maintain organization and efficiency in completing work accurately and in a timely manner.
  • Good judgment and ability to use discretion, maintain data privacy, and maintain all security and confidentiality with sensitive and personally identification information (PII).

Special Conditions

  • Must be legally authorized to work in the UK without sponsorship.
  • Satisfactory completion of a background check including a criminal check where permissible.
  • Ability and willingness to travel domestically and abroad on an occasional basis.
  • Must be available to work occasional evenings and weekends and participate in an after-hours on-call rotation to respond to student emergencies.
