Job Purpose: This role supports the full employment process from onboarding to offboarding, HR data management and reporting, payroll administration, organizing of corporate cultural and employee engagement initiatives, training, HR compliance support, and HR vendor management.

Reports to: Head of Human Resources, Singapore and Australia

Critical Tasks and Expected Contributions/Results:

  • Support talent acquisition activities including employer branding, supporting hiring managers on new and replacement positions, from the reviewing of job descriptions to ensure that it complies with the Fair Employment Guidelines, to the raising of job requisitions, and may be required to arrange for interviews.

  • Manage a smooth end to end onboarding process including preparation/review of offer documentation, collection of certifications and other required documents, coordinating background checks, liaison with respective departments, orientation, planning and organizing of welcome packs.

  • Create and manage employee documentation, HRIS input, and manage probation and confirmation tracking.

  • Prepare monthly and ad hoc headcount, attrition, and other statistical reports.

  • Check payroll and finance reports for Singapore and Australia, which includes liaising with the payroll vendor ensuring timely and accurate payouts.

  • Work actively with Payroll Outsource provider in year-end tax reporting/filing for Singapore and Australia to meet regulatory requirements.

  • Involve in system/vendor migration projects and other process improvement and HR activities/projects.

  • Organize events/initiatives that supports instilling a high performance culture, employee engagement, DEI, and Health & Wellness including arranging wellness baskets and birthday lunches.

  • Learning and Development Planning and Coordination.

  • Manage regulatory and other surveys.

  • Vendor management including assisting with clearing outsourcing/procurement requirements, checking and submitting invoices for approval and payment.

  • Support in the performance management process and annual compensation planning by monitoring quality submission within timeline and managing spreadsheets as required.

  • Support in the review of Policy/Guidelines and Employee Handbook to ensure it is aligned to changes in regulations and other HR compliance matters including audit.

  • Support employee relations activities including investigation, coordination of meetings, minute taking and documentation.

  • Manage employee’s offboarding including organizing exit interviews, final pay discussion, preparation of acknowledgement or termination letters, and liaising with payroll outsource provider on final payment

  • Provides support in the review of operational efficiency within department.

  • Ad hoc duties as assigned

  • Staying current of regulatory changes and ensuring that policies and practices are compliant with requirements

  • The need to navigate complex internal and external stakeholders while managing conflicting and tight timelines

  • Multi-tasking and ensuring speed and accuracy

Experience/Knowledge, Education and Other Requirements:

  • Bachelor Degree is required

  • At least 4 years of HR experience in the financial services industry

  • Experience in HR operations and payroll would be advantageous

  • Strong numerical skills

  • Ability to multi-task and manage tight and conflicting timelines

  • Excellent MS Office skills, especially in excel

  • Strong interpersonal skills with good verbal and written communication

  • Possess a can-do attitude with strong sense of accountability and ownership

  • Ability to work under pressure with minimal supervision and able to deliver quality work within a quick turnaround time

  • Ability to work under own initiative and proactive in recommending and implementing process improvements
