Training Administrator
The Training Administrator is responsible for the administrative tasks related to the delivery of training courses and the operations of the Training Department and the maintenance and management of all documents and Quality records for the entire training center and assures that it is easily identifiable and traceable.
Are you ready to:
Preparation of training documentation/manuals as required.
Maintenance and retention of training records
Liaison with the Quality Manager on matters concerning the Quality Plan,
Managing the exam question change process
Liaison with the HOT concerning the validity and renewal of the instructor and examiner authorizations.
Liaison with the trainees on any training matters.
Manage the TDMS and LMS of the ATO.
Planning and coordinating of Instructor assessments and organizing standardization meetings in collaboration with the HOT.
Liaison with the Deputy HOTs Instructors to prepare and publish the respective training plan for the training staff.
Administrative matters related to the Training Department
Coordinate all activities related to the Document Control procedures, Quality records, personnel training records, technical documents, drawings and commercial correspondence.
Undertake control of electronic and hard copy documentation
Manage the Document Control Shared Folder to ensure currency and availability to all employees.
Management and maintenance of Electronic Document Control System
Provide a central document control help desk function.
Input document data into the Master Document Control list ensuring that the information is accurate and up to date.
Use Unique numbering system to assign document numbers.
Generate the various document control report as required.
Ensure that controlled copies of latest approved documents and drawings are given to the appropriate staff as applicable.
Be responsible for the maintenance and review of document management process.
Maintain the documents in the Training Record Room under safe custody without any damage or deterioration with easy traceability and retrievable.
Timely distribution of latest revision level documentation to all appropriate users and ensure that obsolete documentation removed from distribution.
Maintain the files and control logs as required by the project.
Assist in the internal and external audits of the Document Control System.
Monitor trainee progress/grade slips and advise the HOT and or Deputies if management attention is required.
Our ideal candidate:
Diploma in Business Administration or equivalent / Degree preferred.
2-3 years of work experience.
Knowledge in Training scheduling.
Collaborate with Global team and flexible with working hours.
Ability to work and converse efficiently across all levels.
Able to work under pressure and meet deadlines.
Good problem solving and team working skills.
A broad range of skills in office administration, operations, and clerical work.
Proven ability to handle difficult situations.
